Personal Information

Personal Identification Information – forms

This is data that identifies you or can be used to identify or contact you and may include your name, location, e-mail, phone number, date of birth of yourself or your child and a message. Such information is only collected from you when you voluntarily submit it to Cluas Centre Ltd; by filling in forms on our website or by corresponding with us by phone, e-mail or otherwise. By providing us with this information, you express consent to use your information to contact you and talk to you about our services. Our phone calls may be recorded for quality and training purposes only. If you sign up for our newsletter we may occasionally send you information and updates, you can at any time opt out of the newsletter.

Sensitive Personal Data – pre-assessment questionnaire

Asides from the our forms we do not collect sensitive personal data through our website. After we have personally spoken to you and you have decided on booking an assessment with you we will send you out a pre-assessment questionnaire. You will be asked to provide sensitive data to allow us to perform the assessment and in order for us to provide our services.

You do not have to fill out every section if you are not comfortable with. No information will be shared to any third party and all data is treated with highest level of confidentiality. We may only disclose it where you have given explicit consent; we have a legal obligation to do so or in order to protect your health and welfare.

Non personal information

When you visit our website, we automatically collect certain non personal information about your device, including information about your web browser, IP address, time zone. As you browse our website, we collect information about the individual web pages that you view, what websites or search terms referred you to the our website, and information about how you interact with our website. This information will only be used for producing anonymous website statistics and will be used to help us with the delivery of the services on the website. This non personal information cannot be used to identify or contact you.

What happens to your data?

Cluas Centre Ltd will not collect identifying information about you, such as your name, address, telephone number or email address, unless you voluntarily submit that information to us, by email, online forms or other means. We treat all identifying information you submit to us as confidential and do not sell this information to third parties. We will provide details of the purpose of the information collected when it is provided. This information will not be used beyond the purpose specified at the time of collection. Your personal data may be anonymised and used for statistical purposes.

Any information that is collected by Cluas Centre Ltd from this website will only be used for monitoring purposes unless you have given us consent for your information to be used e.g. providing us with your email-address or phone number so that we can contact you. We do not share information with a third party and all information collected is treated with confidentiality.

We will ensure that all personal information supplied is held securely, in accordance with the requirements of the relevant Irish legislation, namely the General Data Protection Regulation (GDPR) 2018, the Irish Data Protection Act (1988), and the Irish Data Protection (Amendment) Act (2003).

Marketing

Occasionally we may contact you by email, SMS, post or other means with information about products and services that we deliver and that we believe you may be interested in.

We will only send marketing messages to you in accordance with the marketing preferences you set by checking certain boxes on the forms we use to collect user data. You can also exercise the right at any time by opting-out at the end of any marketing communication we send you or by contacting us a described below. Alternatively you can unsubscribe from our marketing by clicking on the unsubscribe link in the marketing messages we send to you.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

Who we share your data with

We may disclose your personal information to:

  • If you request a password reset, your IP address will be included in the reset email.

How long we retain your data

Under the Data Protection Acts, personal information held by Cluas will be retained for no longer than is allowed under data protection law and is necessary for the purpose or purposes for which it was obtained.  If the purpose for which the information was obtained has ceased and the personal information is no longer required, the data will be deleted or disposed of in a secure manner.

To determine the appropriate retention period for personal data, we consider the nature, amount and sensitivity of the personal data, the potential risk of harm from unauthorised use or disclosure, the purposes for which we process personal data and whether we can achieve those purposes through other means, and the applicable legal requirements.

In some cases personal information may be retained on a long-term basis, for example, personal information that we need to retain for legal purposes will normally be retained in accordance with usual commercial practice and regulatory requirements. Generally, where there is no legal or contractual requirement we retain all physical and electronic records for a period of 18 months after your last contact with us.

Exceptions to this rule are:
Information that may be relevant to personal injury claims or discrimination claims may be retained until the limitation period for those types of claims has expired. For personal injury or discrimination claims this can be an extended period as the limitation period might not start to run until a long time after you have been involved with us.

It is important to ensure that the personal information we hold about you is accurate and up-to-date. You should let us know if anything changes, for example if you change your phone number or email address.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

From 25 May 2018 with the implementation of the GDPR guidelines, you have enhanced rights over how your personal data is held, processed and stored. Any access request will be responded to within one month of receipt of the request, however this may be extended to up to 2 further months where necessary depending on the complexity of the request. Documentation will be provided free of charge, unless the request is manifestly unfounded or excessive, in which case a reasonable fee may be charged.
